Dropbox for Salesforce: User guide

Dropbox for Salesforce allows teams to access and share their Dropbox files within Salesforce. This user guide helps individual team members get started after an admin has connected their Dropbox team to Salesforce.

The user guide below answers your basic “How do I….?” questions. Skip ahead for more advanced FAQs.

Connect Dropbox to Salesforce

To connect Dropbox to Salesforce:

  1. Click the Dropbox Options tab in Salesforce.
  2. Click Connect to Dropbox; you should be redirected to dropbox.com.
  3. Log in to dropbox.com with your Dropbox team account.
  4. Click Allow; you should be redirected back to Dropbox Options in Salesforce.
     

Notes:

  • Team members will also be prompted to connect if they visit a Dropbox component in Salesforce.
  • Once connected, team members are returned to the record they started on. The Dropbox folder will now load.

Add files from Dropbox to Salesforce

There are two ways to add files using Dropbox for Salesforce.

If you're using a more recent browser version, you can drag-and-drop files to the Dropbox widget in your Salesforce records.


Alternatively, you can upload files from your computer:

  1. In the Dropbox for Salesforce widget, click the Add Files button.
  2. Navigate to the file you want to upload from you computer, and select the file(s) to upload.
  3. Click the Done button.

View or download a file in Salesforce

You can view, download, and share your files right from Dropbox for Salesforce.

  1. Log in to the Salesforce website.
  2. Navigate to the Dropbox widget in the record you're interested in, and locate the files you'd like to download.
  3. Click the file icon to open the file in Dropbox.
  4. Click the file name to download the file.

Create Dropbox folders in Dropbox for Salesforce

You can create new folders within Salesforce using Dropbox for Salesforce.
 

  1. Log in to the Salesforce website.
  2. Click the New Folder button, and then enter your folder name.
  3. Press Enter on your keyboard.

Delete or restore Dropbox files in Dropbox for Salesforce

Delete files

  1. Right-click the file in Salesforce.
  2. Click Delete.


Restore files

  1. In Salesforce, click Show Deleted Files.
  2. Right-click the file you’d like to recover.
  3. Click Restore.

Share a Dropbox file or folder to Chatter

  1. Open a contact's profile or an account entry.
  2. Right-click the file, and then click the Chatter icon.
  3. Add the message you'd like to share to Chatter.
    • You can use mentions (@) or hashtags (#).
  4. Click Post.

Frequently asked questions

What’s the difference between “All of Dropbox for Object” and “Dropbox for Object”

"All of Dropbox for Object" and "Dropbox for Object" give different visibility into a signed-in user's Dropbox account from Salesforce.

  • "All of Dropbox for Object" provides access to the user's entire Dropbox folder, regardless of which record they are viewing. They can view and modify all their Dropbox files from the Dropbox for Salesforce integration.
  • "Dropbox for Object" only provides access to the files associated with the specific Salesforce object record the user is viewing. They can view and modify files that are in the folder for that object record from the Dropbox for Salesforce integration.


For example, consider the following Dropbox folder structures:


Your Dropbox root > Salesforce Documents > Object Name > object_record_1 > photo1.jpg
Your Dropbox root > Salesforce Documents > Object Name > object_record_2 > photo2.jpg


"All of Dropbox for Object" access would allow you to view the entire folder structure, starting at "Your Dropbox root."


"Dropbox for Object" access would limit your view to only the object record. In this example, "Dropbox for Object" access would permit you to view "object_record_1" in Salesforce and all the files within, including photo1.jpg.

What are the .sfdb files in my Dropbox?

If you’re using Dropbox for Salesforce, you may see files ending in .sfdb in the Salesforce Documents folder in your Dropbox. These are marker files that are used to link your Salesforce records to your Dropbox folders.
 

Note: Please do not delete these files, as Dropbox for Salesforce will not work if .sfdb files are deleted.

What do I do if I accidentally deleted a .sfdb file?

Dropbox for Salesforce will not work if .sfdb files are deleted. If you’ve accidentally deleted the .sfdb files from your Dropbox, you can restore them as you would any other file in your Dropbox.

How can I tell if my version of Dropbox for Salesforce is up to date?

You'll know your version of Dropbox for Salesforce is up to date if there are no updates available:

  1. Log in to the Salesforce AppExchange.
  2. Click your name, and then select My Account.
  3. Click Update Available, and then follow the on-screen instructions.
    • If there is no button, then you are currently running the most current version of Dropbox for Salesforce
