The Challenge

The missing ingredient

In the business of high-end catering, preparation of delicious food is only one piece of the complete process. For Wolfgang Puck, the catering journey begins with the exchange of menu and venue information with prospective clients. Although sharing was initially done via email, photo files were sometimes too large to share, forcing the company to direct clients to the imagery on its website. Catering planners often struggled with accessibility to files and photos, as some information was only stored on computers in the company’s main office. If a planner was at an in-person meeting, it was impossible for them to produce additional materials on the fly. Because there were already a number of chefs who were using Dropbox to share recipes with one another, the idea of adopting the solution to address companywide file-sharing challenges seemed a natural step. According to Pamela Brunson, Senior Vice President of Marketing and Development, “Moving to Dropbox Business was a no-brainer for us. It was very intuitive and easy to set up.”

“Instead of showing up to a meeting with brochures and menus stapled together, we’re putting together slideshows and menu libraries that planners can easily access on their iPads, using Dropbox Business.”

The Solution

Making mobile a main course

With Dropbox Business in place, catering planners have been able to present information to clients in a completely new way. The company provides every planner with an iPad, which allows them to pull up photos and other pertinent files anywhere they happen to be meeting with a client. “Our planners aren’t necessarily sitting at a desk with customers,” explains Brunson. “We might be at a museum or presentation room or in the middle of a parking lot where we’re going to set up a tent. Dropbox Business lets us take our files with us wherever we go and provide visual cues as needed.” The Dropbox Business mobile application not only boosts productivity for Wolfgang Puck Catering, it adds a new level of professionalism to the sales process, making the experience better for all parties. As Brunson says, “Instead of showing up to a meeting with brochures and menus stapled together, we’re putting together slideshows and menu libraries that planners can easily access on their iPads, using Dropbox Business.” When clients want to discuss details for multiple events or locations, planners can quickly retrieve appropriate information. “If I’m working with a client like Dell or Wells Fargo that does business in multiple markets, and they want to talk about one event in Atlanta and another in San Francisco, I can show them venues in both places because everything I need is in Dropbox Business,” Brunson attests. “It really allows us to provide a higher level of service and help clients find solutions faster.”

“Dropbox Business has completely improved our internal communication. It lets us easily distribute information and it helps keep everyone accountable for their ends of the business.”

The Results

A productivity feast

The Wolfgang Puck Catering sales team is just one group within the company that relies on Dropbox Business to do its job more efficiently. The culinary team — one of the earliest Dropbox adopters in the organization — continues to use Dropbox Business as a way to share recipes and photos. And the operations team houses status updates in Dropbox Business, so everyone can easily access project information during weekly status calls. Brunson says, “Dropbox Business has completely improved our internal communication. It lets us easily distribute information and it helps keep everyone accountable for their ends of the business. ”Thanks to Dropbox Business, many of Wolfgang Puck Catering’s standard processes have been accelerated. For example, the camera upload feature of the Dropbox mobile app allows team members to document dishes at client tastings for faster, easier recreation at client events. “The photos let us look at something like a salad and know exactly how we presented the plating for it,” adds Brunson. Whether it’s plating and menu details, new business proposals, or information on new location openings, Dropbox Business serves as a central resource to help improve decision-making and idea execution within Wolfgang Puck Catering. As Brunson attests, “Now everyone has visibility into everything, and no one is stuck waiting on other people to provide updated information. Dropbox Business really helps us move our projects — and our business — forward at a faster pace.”
