Viewer info on shared files

This article discusses a feature that is only available to certain users and via early access for Dropbox Business teams.

If you'd like to use this feature on your Business team, you can enable it and get started. If you're a Basic or Plus user, you can't opt in to this feature.

What does it mean for a Dropbox product to be in "alpha" or "beta"?

Viewer info helps you collaborate with your team. You can see if a member is currently viewing a shared file, or when they last viewed it. Viewer info is available to Dropbox Business teams.

Check if a member viewed your file

When a member is viewing a shared file, their icon appears in color. If you hover over their icon, it says Currently viewing.

After a member has viewed the file, their icon is gray. You can hover over their icon to see when they last viewed it.

If you grant a member Can view or Can edit permissions on a file, their icon appears in gray next to the Share button. If you hover over their icon before the member views the file, it says Never viewed. If you share with a member through a shared linked, their icon doesn't appear until they view the file.

See when a member last viewed a file

To see a full list of people who viewed the file:

  1. Sign in to dropbox.com.
  2. Locate the file you're interested in and click to open it.
  3. Click the viewer list (the icons of members with access to the file).
  4. There's a list of members and editors who have access to the file via shared file or folder in the dialogue box. If you created a link to the file, click the list of names under the link settings to view all members who viewed the link.

Disable viewer info

If you don’t want viewer info to be displayed, you can disable this feature for individual files:

  1. Sign in to dropbox.com.
  2. Locate the file you're interested in and click to open it.
  3. Click Share.
  4. Click File settings.
  5. Next to Show who accessed this file?, choose Don’t show.
  6. Click Save settings.

Privacy

Team members and editors

You can see when members of your team or people with Can edit permission view a shared file. Team members and editors can see when you viewed a shared file.

Team members and people with Can edit permissions on a file can see the names and email addresses of team members and people with Can edit permissions.

Viewers who aren't team members or editors

When someone with Can view permissions or access to a shared link who isn't a team member views a shared file, they appear as a Guest viewing the file. You can't see the name or email address of a Guest on a file.

Which platforms are supported for viewer info?

You can see when a member views a shared file on dropbox.com or in the Dropbox mobile app. If a member uses the Dropbox badge, you can see when they last viewed a shared Microsoft Office file.

Can admins see when I view a file?

Admins have visibility into viewer info through the activity logs.
