Pounding the pavement

With properties stretching from Queensland to Victoria, Mirvac’s Retail Team spend much of their time on the move. Leasing executives in particular must be in the field, meeting with retailers and getting to know every nuance of their markets. In order to work as effectively as possible, they require immediate access to company resources such as budgets, shopping centre plans, leasing fact sheets and photos. In the past, if the team needed updated property reports, they would need to have several emails sent to them to accommodate the larger files. Alternatively, they would have to arrange for files to be uploaded onto a USB, or printed and then couriered to them – proving to be costly and not time efficient. Everything changed when Mirvac moved to Dropbox Business. With Dropbox, executives can work from their iPads and iPhones, with continuous access to the most up-to-date information on Mirvac properties. Mirvac National Retail Leasing Coordinator, Joann Chung, says “The way that Dropbox Business lets me work in different locations with all the documents I need right at my fingertips is incredibly valuable”.

Supporting a roving workforce

The move to Dropbox Business was a natural progression after a number of Mirvac employees started using personal Dropbox accounts to store important files. According to Joann, “It got to the point where everyone was using it and we knew we could set up Dropbox Business to streamline access to leasing tools”. Because Dropbox is simple to use – and a number of staff members were already familiar with it – transitioning to Dropbox Business was a cinch. “The great thing about Dropbox Business is that even people who aren’t tech savvy can understand it” adds Joann. “You just click on a file, download it and it’s on your device”. Whether leasing executives are working from Mirvac-owned centres, home offices or somewhere in between, Dropbox Business puts all of the information they need within reach. The mobile nature of Dropbox is particularly important to executives when they meet potential customers. Joann explains “With Dropbox Business, we can show retailers leasing brochures and centre plans, or pull up sales data on our iPads while we’re having coffee with them. Being able to work anywhere, at any time, is extremely important to our business.” The fact that Dropbox files can be accessed with or without an Internet connection is also important, as some of the company’s properties lie outside city centres. “We’re not always guaranteed to have a reliable Internet connection everywhere we go” says Joann. “But, once documents have been downloaded in Dropbox Business, we can access them without having to use the Internet”. By giving employees better access to the materials they need, Mirvac has increased productivity across the company. “My manager loves Dropbox Business because it lets her stay productive even when she’s travelling” Joann adds. “She’s in and out of meetings all the time, but Dropbox allows her to approve deals and make more informed decisions, no matter where she is”.

Secure, flexible sharing

In addition to enhancing client meetings, Dropbox Business has also improved internal meetings by allowing documents to be distributed easily to everyone involved, even if they’re working from home. “During our monthly leasing meetings, we need to update everyone on what’s happening with various centres” Joann states. “Dropbox Business lets us all view the same information at the same time”. When it comes to sharing files with people outside the company, Dropbox Business provides a more convenient, secure method than email. Previously, Mirvac executives had to use multiple email attachments to distribute large documents to retailers. If recipients had storage limits on their inboxes, executives would have to send several emails to cover everything. Now they can just send Dropbox links. According to Joann, “It cuts down on confusion and makes negotiations easier between executives and retailers. It also saves us from having emails bounce back because of too many attachments.” With simple yet powerful ways to access and share information – from anywhere – Dropbox Business has become an essential part of Mirvac’s leasing operations. Joann sums up the importance of it, declaring “Dropbox has become something my team cannot live without”.
