THE CHALLENGE

Evolving an established brand

When you've been in business for over three centuries, you get very accustomed to watching your business evolve. Orkla has seen its divisions through good times and hard times – in turn growing to be the largest manufacturer in its category in Scandinavia. In recent years, as the company has expanded, its salesforce has steadily moved away from office-bound operations and paper-based workflows to a more mobile workflow with digitised processes. The company used Lotus Notes for about two decades, relying on it in conjunction with databases and an email platform to share documents – without much of a defined workflow. As more and more employees began working from home, on the road and on-site at Orkla Foods distribution locations, the need for a cleaner, better file sharing system arose. “We needed a quicker way to get information to our sales reps and a much more modern way to present our products” says Sales Support Leader Jon-Erik Andersgaard. “We wanted our entire mobile workforce to have better access to pictures and videos, and the administrative documents that explain how we want to work”. Orkla Foods made the decision to move to tablet-based devices and a mobile sales application on top of SAP CRM, but this posed a new set of problems for its workflows.

THE SOLUTION

A new world order

Although tablets allowed Orkla Foods sales reps to stay better connected when working remotely, employees struggled with how to share documents outside a traditional office environment, as a supplement to the sales application. They needed an app that worked more fluidly with the tablet interface, and allowed them to view and share documents more easily. Andersgaard adds, “Our reps needed a platform specifically designed for quick, secure sharing of documents and media files”. The sales team found its solution in Dropbox Business. The mobile application's easy-to-understand functionality was exactly what Orkla Foods was seeking. According to Andersgaard, “The Dropbox app is so easy to explain to people who are just becoming familiar with mobile device use at work. If you want employees to understand how to access and share files from a mobile device fast, Dropbox is the technology you want.” Now, when reps visit customers across the continent, they can instantly retrieve PowerPoint presentations, videos and all the documents they need to close sales. They no longer have to search through emails or try to find files that have been shared via cumbersome apps. In addition, when the company updates product information, sales terms and marketing materials – as it does several times a year – it can deliver those files to employees without manually printing or distributing a single document. “Our goal is to keep workflows paper free” explains Andersgaard. “Dropbox Business provides a single, digital space for employees to find all the information they need – from the newest, most complete sales information to employee onboarding documents to expense report instructions.”

Orkla Foods may love Dropbox Business because it empowers employees to move freely about the world, but it also keeps the company's files safe and secure in one place. With about 300 users in the mobile sales field, accidental deletion of files is bound to happen on occasion. But as Andersgaard says, “Dropbox Business really gives us peace of mind. Mistakes are going to happen, and knowing we can recover lost documents and previous versions is very exciting.” Beyond knowing that its employees never have to worry about losing important files, the company can also make sure the right files are immediately available in every situation. “With Dropbox Business, we are totally in control of who is going to see what and when and for how long” Andersgaard attests. “Whether we're bringing in a new employee or keeping the sales team up to date, we can provide them with the right knowledge, at the right place, at the right time”.
