Collaborate with the Dropbox Badge

The Dropbox badge helps you collaborate right from within the desktop apps that power your work: Microsoft Word, Excel, and Powerpoint.

The badge lets you see who is viewing or editing a Microsoft Office file. It alerts you as people enter, edit, and update the file.

Plus, you can use the badge to:

  1. Update to the latest version of a file. If someone saves a new version of a file while you're working on it, the badge will help you instantly update to their version.
  2. Share your files right from the badge. Send a copy of the file to anyone you want with a shared link, or let team members make edits by inviting them to the file’s parent folder.
  3. Restore previous versions of your files. If you need to go back in time, use the badge to get quick access to a list of all the previous versions of a file and then restore the one you need.

Key points:

  • You can decide when the badge is visible, or turn it off completely.
  • For Windows, the badge is supported in 2007, 2010, and 2013 Office files. For Mac, it is supported in 2011 Office files.

Sharing from the badge

The badge helps you work better together by letting you quickly share your work with others.

Sending a link

You can send links to your work right from the Dropbox badge, even as you're working on it.

To share a link to a copy of your file:

  1. Click on the Dropbox badge.
  2. From the pop-out window, click Copy Dropbox Link.
  3. The link will be copied, and you can immediately paste it into emails, instant messages, blog posts, or wherever you'd like people to access the file copy.

You can adjust the editing permissions granted to members of the shared folder of the file you're working on using the Dropbox badge.

To manage shared folder settings:

  1. Click on the Dropbox badge.
  2. From the pop-out window, click Shared folder settings...
  3. You'll be taken to the Dropbox website, where you can manage user permissions on an individual basis.

Restoring previous versions of your files

Dropbox is like a time machine. We keep track of every time you save changes to your files, so if you ever need to review a file's history, it's only a click away.

To review previous file versions using the Dropbox badge:

  1. Click on the Dropbox badge.
  2. From the pop-out window, click View file history...
  3. You'll be taken to the Dropbox website, where you'll see a full list of file revisions for your document. You can recover previous versions from this page.

Changing when the badge is visible

The badge sticks to the border of your files so you can always move it to wherever you need it to be. You can also remove the badge entirely.

To change the Dropbox badge settings:

  1. Click the Dropbox icon in your computer's menu bar or system tray.
  2. From the pop-out window, click on the gear icon, and select Preferences.
  3. From there, you can choose if you'd always like to see the Dropbox badge, only when others are viewing a file with you, or never.
  4. To completely disable the Dropbox badge, select "Never Shown" from the drop-down menu.
