View team activity with the Dropbox activity log

In the admin console dashboard, you can find information about how your team is using Dropbox, including:

  • Active members: The number of team members who have taken an action in the last 28 days, such as accessing an account, adding files, editing files, viewing files, and sharing files
  • Storage: The total amount of storage space used by your team
  • Links created: The number of shared links created by your team
  • Active shared folders: The number of shared folders with at least two members that have had activity in the last 28 days
  • Active devices: The number of computers and mobile devices where your team members are signed in to Dropbox that have had activity in the last 28 days

How to view team activity

  1. Sign in to dropbox.com with your admin credentials.
  2. Click Admin console.
  3. Click Dashboard.
  4. Above the chart, use the drop-down menus to choose the type of data and the time period (the last week, the last month, or the last six months) you'd like to see.

You can hover your cursor over a colored line or area in the chart to see stats for specific time periods.

Notes about team activity:

  • Usage data is available beginning August 2014 or when your team started using Dropbox
  • You may see a "processing" message when trying to view dates for which we're still processing the data
  • If your Dropbox Business team is new, your charts will be empty because there's no data to show yet
  • If you’d like to see more detailed activity on your team, you can also view team sharing activity

How to create an activity log report

Team admins and user management admins can create activity log reports for their team.

  1. Sign in to dropbox.com with your admin credentials.
  2. Click Admin Console.
  3. Click the Activity tab.
  4. Choose relevant information to filter results. You can filter:
    • By activity: Click Browse activities to filter by activity
    • By specific period: Enter a specific date range in the Date field to see activity that took place during a specific time period
    • By member: To view recent activity of a specific team member, click Members and then enter the team member's name
    • By file or folder: Search by keyword to scan files, folders, Paper docs, or showcases or the location where they were saved
  5. Click Create report.

What can I see in activity logs?

Each entry in the activity log shows:

  • Date and time: The exact date and time that an action took place
  • Member: The member that initiated the action
  • Activity: Details of the event itself
  • Location: The location from which the user initiated the action, and the IP address of the machine they were on

Generally, team member actions appear in activity logs in a few hours. At most, actions appear within twenty-four hours.

Admins have the following events available in their team activity logs:

  • Sharing: All sharing-related actions, including sending a link to a file or joining a folder, or sharing a file or folder owned by a team member
  • Passwords: A team member changes their password or two-step verification settings
  • Groups: An admin creates a group or adjusts the membership of a group
  • Membership: Someone joins the team or is removed from the team
  • Sign-ins: A team member accesses or fails to access dropbox.com
  • Admin actions: You or another admin change settings in the admin console, such as shared folder permissions
  • Apps: A team member links a third-party app to their Dropbox account
  • Devices: A team member links a computer or mobile device to their Dropbox account
  • Paper: All Paper-related actions, including sharing Paper docs owned by team members and team-wide Paper settings.

If you are the admin of a team on an Advanced or Enterprise Dropbox Business plan, you can view all file-related actions on your team. File-level activity includes adding, editing, moving, and deleting files. You can use these events to investigate and troubleshoot problems, such as accidental file deletions, misplaced files or folders, or information security audits.

How to export the activity log

You can export the results of a filtered view. Specifically, you can:

  • Copy-and-paste filtered results into Excel
  • Send a URL of the filtered results to another admin
  • Click on a specific activity and add it as a filter for future use

Note: Filtered results are not truncated in your browser. This means that you can continually scroll in your browser to see older activities.

How to use activity logs to find deleted files

There are two things to consider when searching for a deleted file:

  • The name of the file
  • The folder in which the file was located

If an individual file is deleted, simply search for that file's name. If you've tried searching for an individual file but can't find it, consider if the file was located in a deleted folder.

Deleting a folder will also delete all of the files in it. However, the names of these individual deleted files won't appear in activity audits—only the folder name will.

To find a file that had been located in a deleted folder, search for the folder path name in the activity audit. For example: /Marketing/2016/03/01/Project_1.docx.

Why do I see  "Dropbox Support" or "Dropbox System" listed on my Activity page?

On rare occasions, Dropbox can update your account on your behalf. For Dropbox Business admins, these listings appear on the Activity page in the Admin Console. Specifically, admins could see one of the following:

  • Dropbox Support — If you've contacted our support team, any action we take appears on the Activity page, attributed to "Dropbox Support." These actions can include inviting or removing team members, or inviting the original set of admins for your team. However, the Dropbox support team does not do anything on your account unless authorized to do so.
  • Dropbox System — On rare occasions, the Dropbox system must update your account to keep it current with new Dropbox products. The actions we take appear on the Activity page, attributed to "Dropbox System." These actions can include renaming or moving team folders, or ensuring your Dropbox Business account is up-to-date with new products. Otherwise, "Dropbox System" does not do anything on your account unless authorized to do so.
